Where can I find an applicant's information like their CV & cover letter?
Both the Candidates tab and Applications tab offer valuable ways to manage applicants. The Candidates tab provides profiles of all candidates who've applied for any of your jobs. The Applications tab gives you access to detailed submissions for a specific job, including documents like resumes and cover letters.
How do I manage applications?
You will need to make first contact with the applicant. They will not have your contact details until you have reached out to them directly.
To manage your applications:
- Go to Jobs > All Jobs on the left side of your employer portal.
- Click on the job title you want to manage.
- Click on the 'Applications' tab. Select the candidate whose application you want to manage and update their status.
How do I close my job?
There are 3 options to close a job:
- Permanently close: Select “Expire” to close the job.
- Temporarily remove: Choose "Unlist" to remove the ad with the option to relist later.
- Set Expiry: The listing expires on the date you set (defaults to 30 days if not specified).
How do I notify SJS on the success of my job ad?
Go to Jobs > All Jobs, click on the job title, and then the 'Applications' tab. Select the candidate and update their status to 'Hired'. This information helps us to secure funding and continue our services.
What is the consultant feature and how does it work? How do I add consultants to my job listing?
The consultant feature is especially useful for recruitment agencies and hiring managers. When you add a consultant to your employer account, you can choose to display some or all their personal information (full name, phone, and email) on an advertisement, along with a photo if you wish. This is done in the ‘Key contact’ section of the job form.

Go to Jobs > All Jobs, select a job title, and open the Applications tab. Select/multi-select the applications you want to update as Hired or Unsuccessful.

Rights & responsibilities
Do I pay the students? How much do I pay?
SJS does not pay the students on your behalf. For most jobs, you must pay at least minimum wage of $23.50 per hour. There are three different types of minimum wage rates: adult, starting-out and training.
Am I responsible for deducting tax?
In most cases, you’ll need to provide a tax form to your employees and deduct tax from their wages. However, private domestic workers may classify as an IR56 taxpayer, meaning the employee is responsible for their own tax. Self-employed contractors are also responsible for their own tax.
Can I employ international students or graduates?
Most international students are entitled to work up to 20 hours each week during the academic year on their student visa. It is your responsibility as the employer to ensure they have the right to work in New Zealand.
Jobs students can't do
Some jobs are deemed too difficult, costly, or dangerous for a student to do (e.g. arborist work, or jobs that require a trade certification like plumbing, drain laying, electrical work, gas fitting, and some types of construction).
Health and Safety
Health and safety is the responsibility of everyone present on the job. If you’re hiring people, you’re responsible for taking all reasonable and practicable steps to ensure the health and safety of those employees while they’re at work.
What are my rights and responsibilities?
Both employees and employers have responsibilities towards each other. These will change depending on the type of employment. Learn more at employment.govt.nz.
What if I have an issue or complaint about a student?
If you would like to discuss any issues or concerns with us directly, please reach out to us at complaints@sjs.co.nz. By agreeing to our Terms and Conditions, employers need to understand all employment responsibility lies with you, not SJS.
What if the applicant doesn't appear to meet the student eligibility criteria?
At SJS, students statutorily declare their eligibility to use our services. If you've got any concerns about a student's eligibility, you can reach out to us directly at info@sjs.co.nz.
How can I donate to SJS?
We are a not-for-profit with a mission to improve student wellbeing through meaningful employment. If you'd like to help us create more impact, please consider donating to our charity here.
